Direct support  to the Directors for various activities and responsibilities:

  1. Assistant to the President’s activities:
  • Management of documentation signed by the Legal Representative of Dayco Europe Srl;
  • Support to the management of the Boards of Directors;
  • Support to the management of Notarial documents;
  • Support in general and meeting organization;
  • RDA approval / payment approval signed by the President (in order to proceed with the approval we provide capex and justify the documentation that require his signature);
  • Managing travel expenses of the President on Chrome River system.
  1. Board of Directors activities:
  • Convocation of the Board;
  • Collecting original signatures on the minutes;
  • Printing on the official BoD / Shareholders meeting book;
  • Obtaining English translation of the minutes;
  • Manage the Archive of the minutes;
  1. Secretary activities:
  • Management and obtainment of corporate documentation required by Dayco branches and factories abroad;
  • Business trip management (for managers);
  • Booking and searching the cheapest flight solution;
  • Issuing of air tickets;
  • Booking cars & Hotels.
  • When needed, business trip support to the employees that are directly in contact to the travel agency
  • Direct management of all exceptions in which the agency does not intervene directly
  • Supervision of all bookings made, in order to verify so that the company travel policy is respected
  • Support the organization of travels for all those people (foreign colleagues, clients, consultants) who arrive in Ivrea
  • Hotel reservations, taxi and support in the company for any need
  • HRG portal management (constant updating of the registry of employees)
  • Management of agreements with all hotels in the Ivrea / Turin area
  • Management of agreements with the airlines most used by the company (in support of the Finance function)
  • Meetings organization
  • Check invoices (rental cars – taxis) in order to give the approval for the payment of the correct invoices, otherwise advance complaints and refund requests
  • Executive check-up reservation
  • Passport
    • Request new issue
    • Apply for visas
  • Support to foreign colleagues who need to obtain an Italian visa (invitation letter – hotel reservation)
  • Manage of RDA (Purchase Request)
  • Manage of Direction floor activities
  • Manage the documentation on DocuSign

Essential Qualifications and experience:

  • Master’s degree Economic / legal sciences or equivalent titles
  • Excellent knowledge of Financial acumen
  • 4-5 years of previous experience in similar tasks, and in structured companies
  • Excellent knowledge of English Language
